Please see below our terms and conditions, it is essential that you read these before booking Busography for your event. These terms and conditions are put in place to ensure that both parties are of the same understanding of how the event will take place. This will help you, as a hirer, make the most of our services and entertainment. HIRE PERIOD

Use of the photo booth will start and end at the timings agreed above. Busography will aim to arrive and set up approximately 30 minutes prior to the specified start time of hire, which is included within the booking, and is not counted as part of your run time.

 

In the event that the photo booth cannot be set up or packed away immediately prior to or after the event, the hirer will be required to pay for ‘idle hours’. Idle hours will be charged at £25 per hour.

 

Subject to availability, the booking of Busography may be extended on the day of the event for an additional cost of £100 per hour. This must be paid prior to the additional time being provided.

PAYMENT

All bookings are subject to a £100 non-refundable booking fee, with full payment being due no later than 2 weeks prior to the event. The booking date will only be reserved once the booking fee has been received. In the event that the final balance is not paid 2 weeks prior to the event, this will be deemed a breach of the contract, and any payments that have been made prior to this will not be refundable.

 

The use of any promotional offers / discounts is limited to one discount per event.

AMENDMENTS TO BOOKINGS / PERSONALISED ITEMS

Should you wish to make any changes to your booking, or add any additional services, this should be confirmed no later than 14 days prior to the event. Any personalised items that have already been created, which may no longer be required will still require payment, which will be additional to the booking fee.

 

Busography will send a list of design guidelines for personalised products at the time of your booking should these be included within your booking. These must be returned to Busography no later than 30 days prior to your event to begin the customisation of any personalised products. In the event that this is not returned, standard products without personalisation will be used for your event, and no refund will be issued as a result of this.

 

Busography will be unable to offer certain elements of design due to copyright, trademark and compatibility issues. These will be covered in more detail in the design guide sent to you, and you will be notified if your design requests are not able to be fulfilled.

 

Please note, if your package includes an online gallery, your photos will be stored for 365 days from your event, Busography reserves the right to remove your images after 365 days.

TRAVEL

Travel to and from the event is included in the fee within a 25 mile radius from LN6 9UX. Events that fall outside of this radius will be considered, however, there will be an additional fee of £1 per mile each way.

ACCESS, SPACE & POWER REQUIREMENTS

The hirer will arrange for an appropriate space to be made available for the photo booth at the event venue. A minimum floor area of 3m x 3m is required which must be accessible for the vehicle. It is the responsibility of the hirer to ensure that the space is easily accessible, with suitable road conditions to and from the location, and that the ground conditions are suitable for a heavy vehicle.

 

The hirer will ensure that a mains electricity supply is available, comprising of a 13amp socket with access to the space designated for the photo booth. An extension lead can be used, but this must be no further that 10m from the designated space, and must not cross any main pathways or entrances where this could pose a trip hazard.

PHOTOGRAPHY

All photographs will be taken using a high quality camera where possible. In the event of technical difficulties, Busography may be required to use an alternative camera, which may be of a lower quality. Busography cannot be held responsible for this, and will seek to continue to provide a high quality service to the best of their ability.

 

The hirer gives consent for any photos taken by busography at the event to be uploaded to their website and/or social media sites, and are exempt from any liability with respect to publishing these images. These images may be used to assist Busography with promoting their services, which may include printed publications as well as online images. Busography own copyright to all images taken by their products.

 

If a request is made by the hirer for a picture to be removed from the website / social media site, Busography will seek to do so immediately.

LIABILITY

Busography cannot be held responsible or liable for any unforeseen circumstances that may prevent us from attending your event, or delivery our services. These may include, but are not limited to, severe weather conditions, traffic delays, or equipment failure.

 

Severe weather conditions, or poor road / ground conditions may result in Busography being unable to set up in your desired location, however, we will do our best to find a suitable alternative location as close to your event as possible where power can be accessible. Busography will not risk damage to its property by travelling on unsuitable ground or obstructing fire exits / public footpaths. In the event that it is not possible to identify an alternative suitable location to set up, the booking will be unable to take place.

 

It is the responsibility of the hirer to ensure that permission has been obtained from the venue to use Busography, and to ensure that there is access to a plug socket close to the set up point.

 

In the event of a vehicle breakdown, Busography will do their best to find a suitable alternative in discussion with the hirer. If this is not possible, a refund may be considered at the discretion of Busography.

 

Busography will not be held responsible for any personal injury of any of the participants, unless caused by our own negligence. All reasonable steps will be taken to ensure that yours and your guests safety is prioritised.

 

The cost of any damage by you or your guests to the vehicle, props, or any other equipment that is provided over and above general wear and tear, will be at the liability of the hirer.

 

Busography reserve the right to refuse guests admission to the photo booth if their behaviour is deemed to be too unruly.

 

Where you have purchased a guestbook as part of your package, Busography does not accept liability for any damage caused to the guestbook during the event.

 

If Busography feel that the risk of damage is too high as a result of the behaviour or actions of you or your guests, the booking will be terminated immediately with no refund to the hirer. Threatening or abusive behaviours towards staff is not tolerated, and the event will be terminated immediately with no refund to the hirer.

 

In the event that there is a need to terminate the event, the full cost of hire is still payable and we will not issue a refund for any time that has been cut short.

HEALTH & SAFETY

Busography seeks to operate under a soft lighting set up, however, dependent on the timing of the event, and the lighting available, it may be necessary on occasions for flash / strobe lighting to be used. It is the responsibility of the hirer to inform Busography prior to the event if this will affect any users, and an alternative set up can be considered.

 

For the health and safety of all guests, no more than 4 adults, or 3 adults and 2 children are permitted inside of the photo booth at any one time.

 

No climbing is permitted inside of the photo booth.

 

Children should be accompanied by a responsible adult at all times when entering the photo booth.

 

Please note that food and drink will not be permitted inside the photo booth.

 

Busography will not be held liable for any injury that is sustained as a result of the misuse of props and equipment.

DATE CHANGES & CANCELLATION CHARGES

Any request for a date change must be made in writing at least 30 days in advance of the original event date. Change is subject to photo booth availability, and receipt of a new booking agreement. In the event that the alternate date is not available, the event will be cancelled, and all payments made forfeited.

 

Busography reserve the right to cancel your booking without liability to you, and without any obligation to provide a refund if;

- You do not pay the outstanding balance of your booking by the due date set out within these Terms and Conditions.

- You or your guests present with threatening behaviour towards staff before, or during the event.

- Busography have reasonable grounds to believe that your behaviour, or that of any of your guests is likely to result in damage to property belonging to Busography, or injury to others attending the event.

- Your venue is unable to accommodate your booking and is unable to comply to our terms and conditions.

 

You will be asked to sign a copy of this agreement confirming that you have read & will comply to the terms and conditions above prior to your booking taking place.
